2025 Terms of Stay and Campsite Rules for Campers

Athena vzw

2025 Terms of Stay and Campsite Rules for Campers.

Athena vzw, with registered office at Borsbeeksebrug 34 – 1, 2600 Berchem, operates 3 parks:

Athena Ossendrecht (Zandvlietseweg 15, NL 4641 SR Ossendrecht),
Athena Helios (Grevenbos 2, BE 3078 Meerbeek), and
Athena Le Perron (Agister 27, BE 4950 Waimes)

These terms of stay and house rules are designed to make living together in these parks as pleasant as possible; everyone must comply with them.
The general management may take appropriate measures to supplement these terms of stay and house rules. If you cause damage to the campsite facilities or are involved in an accident, please report it immediately at reception.

In addition to the camping regulations, extra specific measures may be taken at the parks; these additional rules can be found at reception.

1. Camping Stay

1.1 The campsite

The following guidelines apply to your stay on a camping pitch.
Allowed: one tent, campervan, caravan, or motorhome per pitch. Alongside this camping setup, you may place two side tents of max. 5 m² or one side tent of max. 8 m². The car and any trailer must be parked in our parking area. Please move your vehicle to the parking as soon as possible after setting up. Only at our "Le Perron" park may cars remain on the pitch due to steep gradients. A porch attached to the caravan is allowed. The total surface area of the camping installation, including permitted side tents, must not exceed 45 m² projected on the ground. Party tents are only allowed on the day of use and must be dismantled the same day.

1.2 Stay rate

The camping rate includes 2 persons and children up to 3 years old. From the 3rd person onward, the 'extra person or child' rate applies. Each pitch allows a maximum of 6 persons, except for families larger than 6. Additional costs and charges are invoiced separately.

1.3 Booking and payment

You can book your stay online via www.naturisme-athena.orgor through the park receptions. A reservation becomes final after (online) payment of the deposit or, in small amounts, the full amount. You will always receive an invoice confirming your booking. Failure to pay the deposit on time automatically results in cancellation of the reservation.
Reservations are free with us. Extensions of your stay incur no additional admin fees; however, if after booking confirmation the camper requests changes (e.g., different pitch or dates), administrative fees apply: €25 for camping/camper pitch bookings and €50 for rental accommodations.
According to current legislation and for your own protection (e.g., damage notifications), management must always know who is present; therefore, arrival and removal of camping equipment must always be reported at reception.
You can rent a specific camping pitch/accommodation when booking, but Athena vzw reserves the right, without prior notice, to assign an equivalent pitch/accommodation.
Campers are not allowed to sublet their camping setup. Discovery of subletting may lead to immediate termination of the stay without compensation.

1.4 Cancellation

For camping pitches:

  • Full or partial cancellation is only possible by email or letter (receipt date counts as cancellation date), with fees as follows:
  • Up to 15 daysbefore the start of the stay: €25 per file.
  • 14 days or lessbefore the stay starts: €25 per file + 10% of the stay period.

Failure to show up without notification results in holding the pitch reserved until one night after the expected arrival. The full amount for the reserved period is charged. The following day, the pitch is re-rented. A "no show" without notification is taken very seriously as it violates our values.

In case of early departure, unused nights will not be charged. However, an administrative fee of 1 night's stay will be applied.

For rental accommodations:

Full or partial cancellations only by email or letter (receipt date counts as the cancellation date) are subject to the following fees:

  • Up to 90 daysbefore the start of the stay: 15% cancellation fee.
  • Up to 60 daysbefore arrival: 50% cancellation fee.
  • Up to 30 daysbefore arrival: 75% cancellation fee.
  • Up to 1 daybefore arrival: 90% cancellation fee.
  • Failure to show up without notification results in holding the accommodation until one night after the expected arrival. The full amount for the reserved period is charged. The accommodation will be re-rented the following day. A "no show" without notification is taken seriously as it conflicts with our values.
  • Early departure: if you decide to leave earlier during your stay, please inform reception. No refund or compensation is possible.

1.5 Cancellation insurance

Do not risk losing a large part or the full amount of your holiday invoice if something happens to you or your family. Please contact your insurance company. Currently, we cannot offer this option ourselves.

1.6 Arrival and departure

Arrival: campers may take up their pitch from 1pm to 8pm on the day of arrival (if arriving later, contact reception first to arrange your arrival).
Departure: on the scheduled departure day, check out at reception and vacate the pitch by 12pm. Early departure requires notifying reception at least the day before. Late check-out, if possible (pitch free by 8pm), incurs a €10 charge. This is not an extension of your reservation and must be discussed on-site.

1.7 Naturism

For us, naturism is more than just not wearing clothes. It’s a lifestyle based on respect for oneself, others, and the environment. Tolerance and conviviality in a family atmosphere ensure everyone feels respected for who they are. Taking time for rest and relaxation is important to us. We always consider sustainability and like to be trendsetters. This is the healthy lifestyle we stand for. Naked, we are all equal.
When the weather and temperature are pleasant, most will go nude. Still feeling shy? Feel free to wrap yourself in a towel or pareo. At the pool, everyone is expected to be nude. You may keep your clothes on until you are settled—if it gets cooler, it's important not to catch a chill. For social dinners at our clubhouse, clothing is fine, and women who are menstruating may prefer to wear underwear.

1.8 Children

Our parks are all child-friendly. We want children to have a fun, safe, and carefree time on our parks. Keep their safety in mind, especially when driving a car or bike around the campsite. Parents are responsible for any damages caused by their children. Do not allow children to play in buildings and teach them to respect nature and plant life.

1.9 Animals

Dogs are only allowed on our Athena Helios park. A maximum of 2 pets per camping installation is permitted, and dogs are always charged for. Dogs must be kept on a leash. Always carry dog waste bags to clean up after your dog. Pets are not allowed in certain buildings (e.g., sanitary facilities). Owners are responsible for ensuring their pets do not disturb other campers. Permission from park managers is required to keep animals other than dogs or cats.

2. Services

2.1 Reception

If you have questions or issues about or during your stay, you can contact reception. Opening hours are posted at the entrance and on our app. First aid is available at reception.

2.2 Electricity connection

Connection to the campsite’s electrical network is via Europlug, with current strength varying by location. To prevent overload, electrical devices consuming over 1200 W are strongly discouraged.

2.3 Swimming pools

Pool access is reserved exclusively for our guests. Certain measures ensure a pleasant, clean, and safe environment for water fun. These are posted at the pool entrance. Please follow them for your own and others’ health and safety. Exceptional measures may be issued and must be complied with. At the pool, everyone is expected to be nude.

3. Safety

3.1 Fire safety

A maximum of 2 gas bottles (2 x 26 liters) per pitch is permitted. Ensure they comply with legal requirements and regularly check bottles and hoses for wear or leaks. Petroleum heaters may hold up to 20 liters. Heating and cooking appliances must be placed safely in a well-ventilated area on a fireproof surface. Open fires (including barbeques with open flames) or campfires are forbidden without management permission.

Smoking is prohibited throughout the park including parking, except on paved terraces and your own camping pitch.

3.2 Traffic safety

Our park is car-free; cars are only allowed exceptionally. A speed limit of 5 km/h applies to all vehicles and bicycles. Always follow specific park measures, which are available at reception.

At our Le Perron (Waimes) park, cars may drive on the park due to steep gradients. Only one car per pitch is allowed and must be parked on your own spot. Temporary exceptions must be arranged in advance with park managers.

3.3 Personal safety

No activities or storage of items that increase fire hazard or the consequences of fire are allowed in the facilities. Everyone must take measures to protect their own equipment.

3.4 Instructions in case of fire or evacuation

You can find the guidelines to follow in case of fire or evacuation on the information board at the main entrance.

4. Cleanliness – Sanitary – Waste – Quietness

4.1 Cleanliness and green care

Athena vzw counts on everyone’s cooperation to keep pitches, surroundings, buildings, and communal facilities clean.
Respect the greenery on the campsite. On the pitch it is forbidden to:

  • lay down a fixed mat, cloth or wooden floor larger than the (front) tent;
  • install any kind of fencing;
  • place more than 2 garden ornaments, flower pots, or plants (respect the natural environment and appearance, avoid plastic and unnatural materials);
  • dig up or disturb the ground;
  • prune hedges, shrubs, or trees.

4.2 Sanitary facilities

Sanitary buildings are regularly cleaned by staff, volunteers, and students. Athena vzw invests consistently in energy-efficient and environmentally friendly technology when renewing and modernizing. As a guest, you can help by:

  • Reporting leaking taps and toilets at reception.
  • Using water and energy sparingly.
  • Keeping the sanitary facilities clean.
  • Reporting damage or unclean sanitary facilities to reception.

4.3 Waste

Regular household waste must be collected in sturdy bags, sealed well, and disposed of in containers. Be environmentally conscious: PMD (plastic, metal, drink cartons), glass, paper, and cardboard should be placed in designated containers.
It is NOT allowed to dump bulky waste (= too large for a household waste bag) or waste brought from outside the campsite. Detection of illegal dumping by our team may result in a €150 penalty.
Multiple special disposal points for wastewater and chemical toilet emptying are available on the park (see park plan).

4.4 Silence and quiet

Quiet must be observed at camping pitches between 11pm and 7am. Unless otherwise stated, all motorized traffic is prohibited during these hours. Noise disturbing other campers, such as from televisions or radios, must be avoided.

5. Buying and selling, receiving newspapers, mail or packages

5.1 Buying and selling

Sales of food and drinks by third parties require written permission from management. Written permission is also required for distributing documents or items.

5.2 Receiving newspapers, mail and packages

  • Guests may collect newspapers, magazines, letters, or parcels only during reception opening hours.
  • The campsite accepts no responsibility for non-delivery, incomplete delivery, damage, or other delivery errors; this is a direct arrangement between sender and guest.
  • Reception does not accept registered mail on behalf of campers, as they cannot be domiciled here.
  • Reception does not sign for packages, even if the courier insists or risks taking the package back.
  • Reception reserves the right to refuse packages if considered too large to store, potentially damaging to campsite property, or harmful to the health or wellbeing of staff or other guests.
  • If delivered goods are not collected within a reasonable period (max. 1 month), they will be discarded. The campsite is not liable.

6. Rental accommodations

The above terms and house rules also apply to rental accommodations, along with these additional provisions or deviations:

  • Arrival between 3pm and 8pm (if outside these times, contact reception in advance).
  • Departure before 11am. On departure day, the rental accommodation must be vacated on time.
  • If you decide to leave early during your stay, you must inform reception. No refund or compensation is possible.
  • The maximum number of guests allowed in the rental is specified in the booking and on our website.
  • If pets are permitted in a rental, this is explicitly indicated on the website and on the booking invoice. Otherwise, tenants and visitors are prohibited from bringing pets.
  • Smoking is prohibited inside rental accommodations.
  • Subletting the rental accommodation is not allowed.
  • Any damage must be reported to reception and is the tenant's responsibility.
  • The rental accommodation must be left clean. Cleaning on departure is performed by our staff and charged at booking.
  • Costs for lost keys (€50), replacing damaged inventory, or repairing damage to the rental will be charged to the tenant.

7. Liability

Athena vzw cannot be considered a custodian of campers’ or guests’ belongings at any time. Athena vzw is not liable for theft or damage of campers’ or guests’ belongings.

8. Complaint procedure

8.1 Complaints before the stay must be reported as soon as possible by email or letter to the park.

8.2 Complaints during the stay must be reported promptly and with appropriate evidence at reception.

8.3 If a complaint is not satisfactorily resolved on site, the camper/guest must submit their complaint by email or letter to Athena vzw’s general management within 3 months after the stay.

9. Breach of regulations

Non-compliance with terms of stay and/or camping regulations gives Athena vzw the right to claim damages. Damage caused by the camper/guest’s breach is estimated at a minimum of €100, without prejudice to Athena vzw’s right to claim a higher amount.

10. Termination of stay for urgent reasons

Athena vzw may terminate a stay based on urgent reasons. Examples include, but are not limited to:

  • Failure to comply with articles 3 and/or 4.
  • Failure to pay (interim) invoices on time.
  • Repeated actions contrary to these terms and house rules.
  • Any behavior violating regulations issued by competent authorities.

11. Government

The applicable government laws apply in our parks. If government guidelines impose standards conflicting with these regulations, our terms and rules will be automatically adjusted.
